Mailing Lists

The instructions given here use Windows Explorer though you can achieve the same using your own preferred method.

    1. In the address bar enter \\Z1\System\home\Common\Admin
    2. Create a folder here called e.g. MailLists and set its properties to Read-only.
    3. Using a text editor, such as Windows Notepad, create a file with a list of the required recipients. Create this list with each address on a new line e.g.
      sales @ acompany.co.uk
      sales @ abco.co.uk
      sales @ xsif.com
      sales @ another.co.uk




    4. Save this file with the name with which you wish to refer to it e.g. NewsLetter.txt
    5. Ensure you have a user set up to receive replies for our example we will use helpdesk
    6. Now login to your Zybert GEM and go to Mail.. Aliases and createtwo new aliases:
      Enter alias as NewsLetter-1
      Enter deliver to as :include:/home/Common/Admin/MailLists/NewsLetter.txt
      and the second alias
      Enter alias as NewsLetter
      Enter deliver to as: helpdesk
    7. Now you need to set up a filter to deal with the situation of someone; using 'Reply All' to the list (something you may wish to discourage).
      Using the 'To' field from the drop down list:
      newsletter-1
      @ widgets.co.uk
      Deliver to: helpdesk
    8. If your company domain name is for example widgets.co.uk, you can now send an e-mail in the normal way to your own domain name as
      newsletter @ widgets.co.uk
      and using Bcc
      newsletter-1
      @ widgets.co.uk

      The alias newsletter-1 will use the mail list you have created, to send to all the recipients.

      Tip T i p

      Mailing lists are extremely useful, saving considerable time when supplying many people with the same information. However there is also a danger that they may be construed as Spam by the recipient. It is therefore necessary to give careful consideration to the recipient list and equally important to maintain the list. Recipients may wish to be removed from a list and e-mail addresses change or become invalid. If the list is not maintained you may unwittingly become a spammer.

      It may be advisable to put a clear message in your e-mail requesting that people do not reply.

      This is not a properly managed mail list system. There is no subscribe or unsubscribe function, there is no automatic handling of errors or requests. If you need to send email to a large number of recipients without excessive beaurocracy, this is a useful method.
