Download Filters
Filters can be set to control certain parameters for downloading emails. Login to GEM administration, got to Email... 'Mail Download Control'. From the table below the parameters can be set as follows:
When finished remember to tick 'Apply Filters...' and Save.
Ignore - If Action is set to Ignore you are not informed.
Reject - If Action is set to Reject you are informed.
Keep - If Dispose is set to Keep the e-mail is left on the external mail server. Every time the GEM checks for mail, it will leave the mail there and inform the recipient.
Delete - If Dispose is set to Delete the e-mail is deleted from the external mail server.
1) Maximum Size- In the box next to bytes set the maximum size of the email you are prepared to accept. For example a single attached photograph could be 1MB, for this example let's call that 1000000 bytes. If, as above, it is set at 15MB, an email with 12 photos would be less than maximum size where 16 would be greater than maximum size. Depending on the Action/Dispose parameters the following can occur if the maximum size is exceeded:
1.1 Ignore/Keep - you will not be informed that there is an e-mail there with an attachment exceeding maximum size. It will be checked every time your GEM connects to your server.
1.2 Ignore/Delete - you will not be informed that there is an e-mail there with an attachment exceeding maximum size. The e-mail and its attachment will be deleted from the external server.
1.3 Reject/Keep - you will be informed that there is an e-mail there with an attachment exceeding maximum size. It will be checked every time your GEM connects to your server and you will be informed every time. You can then decide what to e.g. the administrator could turn the filter off for long enough to download the email then turn it on again. If it is an e-mail that is not wanted, it can be deleted instead.
1.4 Reject/Delete - you will be informed that there was an e-mail there with an attachment exceeding maximum size and it will be deleted.
2) Duplicates - If there are multiple copies of identical e-mails then it may be advisable Ignore and Delete. You are not informed they are simply deleted.
3) Unknown Users - E-mail is sent with headers that contain information including data about sender and recipeint. If this data is not valid filters can be set to determine how it should be handled.
4) Detected SPAM - If your ISP runs the anti-spam program SpamAssassin, this filter can identify the resultant spam. It may be advisable to Ignore and Delete. However SpamAssassin running on the GEM will check all downloaded e-mail anyway.
5) Blacklisted Sender - Senders can be blacklisted using the AntiSpam controls on the GEM. This filter decides what should be done with them.
Forwarding to mobile phones or other e-mail addresses:
When forwarding e-mail to mobile phones it is important to consider the implications of forwarding large e-mails and how this may effect your mobile phone account e.g. extra charges due to excessive bandwidth. It may therefore be advisable to consider filtering.
When finished remember to tick 'Apply Filters...' and Save.
