Archive Management

The term 'Wastebasket' has been changed to 'Archive' because it relates more closely to what the system on the GEM actually does. This is to prevent confusion with other systems where the Wastebasket is the place files go, when they are deleted. The Archive Management on the GEM is far more than a simple delete as you will see from the article below.

NB some systems may still display the term 'Wastebasket'.

WARNING - this process removes data from your server. If you wish to free up disk space but keep this data as a permanent archive, then archives can be copied to external media before removal from the server.

Log in to your server.
Go to System.
Go to Z1 Mirror Backup Control.
Go to Archive Management

Archive files may take more and more disk space. If this begins to be a problem, archives should be cleaned. On the Z1 Mirror Backup Control you can define rules that should be applied to this process.

Z1 Archive Management

Enter a list of files (usually with wild cards for example *.doc, *.bak etc.). For each of them you can declare the Days to Keep and Copies to Keep.

Files will not be deleted unless they are older than Days to Keep.
Files will not be deleted if the number of existing versions of a file in the archive is less than Copies to Keep
So if you choose *.doc with Days to Keep set to 30 and Copies to Keep set to 4 then all Word files older than 30 days will be deleted except for the 4 newest versions, whatever their age.

Files in the 'Last' archive - from last night - are not deleted.

Entries may be disabled (but stay on the list, there will be no tick in the Active box) or be deleted completely.

After you Save the new settings they become active (there will be a tick in the Active box) and will be used by the daily clean-up task, which runs after midnight.

Note that entering 0 for Copies to Keep will not delete the original. Archive Management WILL NOT TOUCH anything outside of the File Archive - so nothing it does can delete the original - EVER.

It also does not touch the 'Last' Archive - copies from the last backup - this means that 0 copies may in fact mean 1 copy in addition to the original - until 'Last' gets moved to a dated folder.

Archive Management runs at midnight, the 'Last' archive is created at 2am and kept until 2am next day, then it is renamed and the new 'Last' is created. So - files in 'Last' are kept for 46 hours before they are subject to Archive Management.

File Extensions to Consider Entering - there are many others but this is a start. You may have your own specific software, establish its extension and consider adding this as well.

Also be aware that the same file extension may apply to different types of file. For example .pub could be MS Publisher or a PuTTY public key file.
